User management: deleting user data

Updated

If you want to delete data records from the user list, please follow the steps below:

  1. Open the section User Management > Users in the SoSafe Manager.

  2. Click "Import user data" to start the User Management.

SoSafe Manager User Management page, with the Import user data button in the top right corner above the Export user data section and its Export button.

  3. Select "Delete".

SoSafe Manager user data import wizard, step 1 Select action, with Delete chosen over Add and update, and a note that all users in the uploaded file will be irrevocably deleted.

  4. Upload the Excel file via drag & drop which includes the data records that are supposed to be deleted.

SoSafe Manager user data import wizard, step 2 File upload, showing the Download template button above an empty drag and drop area for an Excel file.

  5. Select a header from the Excel file (the first row is usually correct and therefore selected per default). The header is the basis for the attribute mapping in the next step.

SoSafe Manager user data import wizard, step 3 Select a header, showing an uploaded Excel file's preview table with columns for ID, name, email, and language, and the first row checked as the header.

  6. In the following area, the defined user data attributes are assigned to the columns of the Excel file. When using our Excel template, this is done automatically by our system. On the left you find the required fields/attributes, on the right the match with the Excel file.
Note: For the deletion of user data only the email address has to be assigned. All other attributes are irrelevant.

SoSafe Manager user data import wizard, step 4 Attribute mapping, showing the instructions to map Excel columns to user data attributes and a warning that unmapped attributes cause deletion of that data for all users.

  7. Fixing errors

    1. No errors were found: You can skip to the next step.

    2. Errors were found: When errors are found in the deletion process, they always refer to the email address. Please therefore check the correct spelling and if the record is part of the database (see example below).

SoSafe Manager user data import wizard, step 5 Fixing errors, with the Fix all errors button above a table listing one faulty record flagged with an email address not found in the database.

  8. The following summary shows how many records have been uploaded and deleted.

SoSafe Manager user data import wizard, step 7 Summary, confirming all steps are complete and showing the record counts uploaded and set to be deleted, above Cancel and Confirm buttons.

  9. After confirmation, you can decide if you want to delete all linked e-learning accounts at the same time. This makes sense if, for example, employees have left the company.

SoSafe Manager delete confirmation dialog, warning that the deletion cannot be undone, with a checkbox to also delete all linked e-learning accounts, and Close and Delete buttons.

  10. After deletion the user data are updated.
