When an E-Learning course (also called a campaign) starts, SoSafe sends an invitation email to every active user assigned to that course. The email tells users that they now have access to the SoSafe security awareness training and includes a personal link to get started. Depending on how your company logs in to SoSafe, the link takes users to registration or straight to login.
The invitation email is a convenient way to get started, but users don't need it. They can also go to the E-Learning platform directly.
Which emails your users receive
SoSafe sends these emails automatically. You can turn each of them on or off in step 4, Email notification, of the course setup. Invitation email is turned on by default.
| Who receives it | When | |
|---|---|---|
| Invitation email | All users in the course | On the course start date |
| New joiners reminder | Users added after the course has started | After they're added to the course, if New joiners reminder is turned on (see below) |
| 7-day reminder | Users who haven't registered yet | Every 7 days until they register (not on weekends) |
Unless you turn them off in the same step, users also get reminders about lessons that are due soon, overdue or newly added.
This is an example of the invitation email your users receive:
Invite users who are added later
If you add users to a course after it has started, for example new employees, they only get an invitation email if New joiners reminder is turned on. This is enabled by default.
To double-check or change the setting, follow these steps:
- In the SoSafe Manager, go to E-Learning / Course Management.
- Create a new course or open the course you want to edit.
- Go to step 4, Email notification.
-
Turn on New joiners reminder.
- Select Save changes and go through the remaining steps to the last one. Your changes are only saved when you finish the last step.
From now on, users you add to the course after it has started automatically get an invitation email.
For a full walkthrough of the course setup, see E-Learning course setup.
Can I re-send invitation emails?
You can't re-send invitation emails manually from the SoSafe Manager. You don't need to, though:
- Users who haven't registered yet automatically get the 7-day reminder every 7 days.
- If New joiners reminder is turned on, users you add to a course later automatically get an invitation email.
You can also send your users the access instructions yourself at any time. Use one of the templates below.
